Salary slip generator with PF, ESI, professional tax and TDS

This free salary slip generator produces a clean monthly payslip for an employee in India. Enter the company, the pay month, loss-of-pay days, the employee’s details and the full-month earnings; the payslip shows what was earned this month, deducts employee PF, ESI, the work state’s professional tax and an income-tax (TDS) estimate — or amounts you type — and prints the net pay in figures and words.

The deductions use the same rules as the site’s payroll and salary calculators: EPF at 12% of wages up to the ₹25,000 ceiling that applies from 17 September 2026 (or on full wages), ESI at 0.75% where wages are ₹21,000 or less, the Labour Code rule that raises wages to half of pay when basic + DA is lower, and professional-tax slabs for 15 states including February’s ₹300 in Maharashtra and Karnataka. Optional year-to-date columns, a signature and your logo complete the slip.

Running payroll for a team? Paste or drop a CSV and download a ZIP with one PDF per employee plus a summary sheet. Everything runs in your browser; nothing is uploaded. The TDS figure is an estimate and the template is not tax or legal advice.

Loss of pay handled

Each earning is cut by paid days ÷ days in the month (calendar, 30 or 26) and rounded to the rupee.

Year-to-date columns

Optional YTD for earnings and deductions, counting from April or the joining month.

Bulk ZIP from CSV

Worked example: an October 2026 payslip

An interior designer in Bengaluru earns basic ₹40,000, HRA ₹16,000, special allowance ₹19,000 and conveyance ₹1,600 a month (₹76,600). October has 31 days and there was 1 loss-of-pay day, so each component is multiplied by 30/31: ₹38,710 + ₹15,484 + ₹18,387 + ₹1,548 = ₹74,129 gross.

PF is 12% of wages capped at ₹25,000 = ₹3,000. ESI does not apply because wages exceed ₹21,000. Karnataka’s professional tax is ₹200. Under the new regime the year’s taxable income is about ₹8.42 lakh, below the ₹12 lakh rebate limit, so TDS is nil. With a ₹2,000 advance recovery, deductions total ₹5,200 and net pay is ₹68,929. Under the old regime with no declarations, TDS would be ₹6,773 and net pay ₹62,156. Check the year with the income tax calculator.

What a payslip should show

  • Employer name and address, the pay period and the employee’s name, ID, designation and joining date.
  • Days in the month, paid days and loss-of-pay days.
  • Each earning and each deduction with its amount, gross earnings, total deductions and net pay.
  • PAN and UAN help the employee match Form 16 and the EPF passbook; show bank accounts only partly.
  • Under the Code on Wages, 2019 (in force from 21 November 2025), employers must give wage slips; the Central and State rules set the format, so check yours.

Rules used (as of October 2026)

EPF: 12% employee contribution on wages up to ₹25,000 a month from 17 September 2026 (₹15,000 earlier), or on full wages if chosen. ESI: 0.75% employee share where ESI wages are ₹21,000 a month or less (₹25,000 for persons with disability), rounded up to the rupee. Professional tax: state schedules — Maharashtra, Karnataka, West Bengal, Tamil Nadu, Telangana, Andhra Pradesh, Gujarat, Madhya Pradesh, Kerala and Assam levy it; Delhi, Uttar Pradesh, Haryana and Rajasthan do not, and Odisha repealed it from 1 April 2026. TDS: tax for tax year 2026-27 under the Income-tax Act, 2025, spread evenly over twelve months assuming the other months are paid in full, with no HRA or other declarations. Compare team totals with the payroll calculator and an employee’s take-home with the in-hand salary calculator.

Salary Slip Generator FAQ

How do I make a salary slip?

Enter the company, month, employee and monthly earnings, then let the tool work out PF, ESI, professional tax and TDS (or enter them). The salary slip generator shows net pay in figures and words and downloads a PDF.

How is loss of pay calculated on a payslip?

Earned amount = full-month amount × (days in month − LOP days) ÷ days in month. Choose calendar days, a fixed 30 or a fixed 26 to match your policy.

Is PF deducted on the full basic salary?

Usually on wages up to ₹25,000 a month (₹3,000 maximum) from 17 September 2026. Some employers deduct on full wages; choose “12% of full wages” for that.

Why is ESI not deducted?

ESI applies only when ESI wages are ₹21,000 a month or less. Above that the employee is not covered and no ESI is deducted.

Can I create payslips for many employees at once?

Yes. Open “Bulk payslips from a CSV”, download the sample, fill in one row per employee and drop it back. You get a ZIP with one PDF per employee and a summary CSV.

Is the TDS on the payslip exact?

It is an estimate that spreads the year’s tax evenly. Real payroll adjusts TDS for declarations, arrears and bonuses — enter the actual amount if you know it.

Is employee data uploaded?

No. Payslips are created in your browser and saved only on this device.
