  • Gratuity: eligible after five or more years — 7 years counted (the 4 extra months are not over six, so they do not count). Wages used are ₹1,00,000: basic + DA is below half of your gross pay, so the excess allowances count as wages under the Code on Social Security, 2020. Tax-free part: ₹4,03,846. Pay within 30 days — by Mon 30 Nov 2026.
  • Leave encashment on leaving: tax-free up to the least of amount received ₹48,000; ₹25 lakh lifetime limit ₹25,00,000; 10 months’ basic + DA ₹8,00,000; leave at 30 days a completed year (18 days × basic + DA ÷ 30) ₹48,000 = ₹48,000 (non-government employees). The days, the pay it is worked on and the divisor come from your leave policy.
  • Notice shortfall: 15 days × one day’s pay = ₹1,00,000 recovered. The notice period, the pay it is charged on and any leave set-off come from your appointment letter or policy. No GST is charged on notice pay recovery (CBIC Circular 178/10/2022-GST).
  • Statutory bonus: not due — wages of ₹1,00,000 a month are above ₹21,000. Any bonus or incentive you are owed comes from your policy.
  • When: wages due on leaving must be paid within two working days — by Tue 3 Nov 2026 (Code on Wages, 2019, s.17(2); Saturday and Sunday assumed off). PF is withdrawn or transferred separately through EPFO.
  • TDS: ₹74,100 is the extra new regime tax (with 4% cess) on ₹1,50,000 of taxable settlement over the ₹12,00,000 already paid this tax year. Your employer may project differently; the final tax is settled in your return.

Rules as of 24 Oct 2026: Code on Wages, 2019 (s.17(2), Chapter IV bonus), Code on Social Security, 2020 (Chapter V gratuity), Industrial Relations Code, 2020 and OSH Code, 2020 — in force from 21 Nov 2025 (S.O. 5322(E), 5319(E), 5320(E), 5321(E), 21 Nov 2025); gratuity ceiling ₹20 lakh (S.O. 1420(E), 29 Mar 2018); leave encashment exemption ₹25 lakh (CBDT Notification 31/2023); CBIC Circular 178/10/2022-GST; Income-tax Act, 2025 slabs for 2026-27.

An estimate, not legal or tax advice. Items tagged “policy” depend on your appointment letter, leave policy or standing orders; your employer’s payroll is final.

A full and final settlement calculator for Indian employees and HR

This full and final settlement calculator builds the statement you get when you leave a job in India: unpaid salary for the final month, leave encashment, gratuity, notice pay recovered or paid in lieu, bonus and other dues, less employee PF, professional tax, loans and an estimate of TDS. It shows each line, how it was worked out, the net amount and the date it is due.

Every item is tagged law or policy. Gratuity, the payment deadline, statutory bonus and PF follow the Labour Codes; the leave rate, notice terms and any incentive follow your appointment letter and HR policy, so you can change them to match. Gratuity is worked out by the same engine as the gratuity calculator. Everything runs in your browser and nothing is uploaded. Treat the result as an estimate, not legal or tax advice.

How to use the Full and Final Settlement Calculator

  1. Enter your date of joining, last working day, the reason you are leaving and whether the gratuity law covers your employer.
  2. Type your monthly gross salary and basic + DA as on the last payslip.
  3. Under Salary and leave, enter the unpaid days and your leave balance, then pick the divisors your policy uses.
  4. Under Notice period, say whether you served it, left early (recovery) or were released with pay in lieu, and the number of days.
  5. Add any bonus, other dues, deductions and the salary already paid this tax year for the TDS estimate.
  6. Copy the statement, download it as a CSV for Excel, or print it and compare it with your employer’s F&F sheet.

Full and final settlement calculation formula

Net settlement = unpaid salary + leave encashment + gratuity + bonus + other dues + notice pay in lieu − notice recovery − PF − professional tax − loans − TDS. The default example: joined 10 June 2019, resigned with a last day of 31 October 2026, gross ₹2,00,000 and basic + DA ₹80,000 a month.

  • Unpaid salary: 31 days × ₹2,00,000 ÷ 31 = ₹2,00,000 for October.
  • Leave encashment: 18 days × ₹80,000 ÷ 30 = ₹48,000.
  • Gratuity: service is 7 years 4 months, so 7 years count. Basic + DA is under half of gross, so wages are raised to ₹1,00,000: 1,00,000 × 15 × 7 ÷ 26 = ₹4,03,846.
  • Notice recovery: 15 days short × ₹2,00,000 ÷ 30 = ₹1,00,000.
  • Deductions: PF 12% of ₹25,000 = ₹3,000, professional tax ₹200, and TDS of about ₹74,100 on ₹1,50,000 of taxable dues after ₹12 lakh already paid. Net: ₹5,24,546.

Which rules come from law and which from your employer

The four Labour Codes came into force on 21 November 2025 (Gazette notifications S.O. 5319(E) to 5322(E) of that date), replacing the Payment of Wages Act, 1936, the Payment of Gratuity Act, 1972 and the Payment of Bonus Act, 1965 for most purposes. Many companies still pay F&F 30 to 45 days after exit; the two-day rule applies to wages, and you can raise a claim if dues are held back.

Common mistakes in F&F settlements

  • Counting 4 years 7 months as five years on resignation — the six-month rounding only applies once you already qualify.
  • Encashing leave on gross pay when the policy says basic + DA, or the other way round.
  • Recovering notice pay for days already covered by leave your policy lets you set off — check with the notice period calculator.
  • Ignoring the 50% wage rule for gratuity when allowances make up most of the pay.
