Relieving letter generator with the notice and settlement worked out
This free relieving letter generator drafts the letter an employer gives an employee who has resigned. It confirms the resignation, states the last working day and records how the notice ended — served in full, waived, bought out or set off against leave. Enter the resignation date and notice period and the tool works out when the notice ends and how many days were cut short, so the letter never contradicts its own dates.
Add the settlement status, handover and no-dues lines, PF and tax-certificate reminders and an optional settlement statement with the net amount in words. Choose a relieving letter, a combined relieving and experience letter, or a confirmation of resignation for the US and UK, then download a PDF, a Word file or a ZIP of letters from a CSV.
Nothing is uploaded. It is a template, not legal advice — check the appointment letter, standing orders and policy before you issue it.

What a relieving letter should contain
- The resignation date and a clear statement that the resignation was accepted.
- The last working day and the dates of employment, with the length of service.
- How the notice period ended, and any notice pay recovered.
- Handover of work and company property, and whether any dues are outstanding.
- Where the full and final settlement stands — paid, or the date it will be paid.
- The signature of an authorised signatory; many employers add the company seal.
Worked example: 60 days’ notice from 14 August
Priya resigned on 14 August 2026 with a 60-day notice period. Day 1 is 15 August, so the notice ends on Tuesday 13 October 2026, and a last working day of 13 October means it was served in full. She joined on 1 June 2021, so her service is 5 years, 4 months and 13 days — enough for gratuity. If she had left on 30 September instead, 13 days would be unserved, and the letter would say they were waived or bought out.
With a Monday-to-Friday week, the settlement is due by Thursday 15 October. The sample statement adds salary for 13 days (₹37,742), leave encashment (₹20,769) and gratuity (₹1,29,808), less professional tax and TDS (₹18,700): a net of ₹1,69,619. Check notice dates with the notice period calculator and gratuity with the gratuity calculator.
The rules behind the dates (as of October 2026)
- India: no statute prescribes the relieving letter itself; it is settled practice, and new employers ask for it. Since 21 November 2025 the Code on Wages, 2019 (s.17(2): final wages within two working days) and the Code on Social Security, 2020 (Chapter V: gratuity after five years, one year for fixed-term staff, paid within 30 days) apply.
- Tax and PF: from the 2026-27 tax year, Form 130 under the Income-tax Rules, 2026 replaced Form 16 as the salary TDS certificate. Provident fund is transferred or withdrawn online through the EPFO member portal with the UAN.
- United States: final paycheck deadlines are state law — in California, on the last day if the employee gave 72 hours’ notice, otherwise within 72 hours (Labor Code s.202). Plans with 20 or more employees must offer COBRA.
- United Kingdom: the final payslip includes accrued but untaken holiday, and the P45 follows. An employee with a month’s service must give at least one week’s notice (Employment Rights Act 1996, s.86(2)), or longer if the contract says so.
Common mistakes
- Saying the notice was served in full when the last day falls before the notice ends.
- Holding back the relieving letter to pressure an employee — settle disputes separately and keep the letter factual.
- Adding opinions about performance — keep any conduct line fair and factual.
Relieving Letter Generator FAQ
What is a relieving letter?
The employer’s letter confirming that a resignation was accepted and the employee relieved on a stated date; the next employer usually asks for it. This relieving letter generator drafts it from your dates.
What is the difference between a relieving letter and an experience letter?
The relieving letter records the end of employment — resignation, last day, notice and settlement. The experience letter certifies the period of service and the role. Many companies issue a combined “relieving and experience letter”; for a separate certificate, use the experience letter generator.
How is the end of the notice period calculated?
Day 1 is the day after the resignation. A notice of 60 days from 14 August ends on 13 October; two months from 30 December ends on 28 February, the last day of the month, because 31 February does not exist.
When must the full and final settlement be paid?
Under section 17(2) of the Code on Wages, 2019, wages due on resignation are paid within two working days of leaving; gratuity, where payable, within 30 days. The tool shows the statutory date beside your own.
Can I issue relieving letters for many employees at once?
Yes. Add one row per leaver to the sample CSV in the bulk section and drop it back for a ZIP of PDFs (and Word files if you like). Rows with missing or invalid dates are listed, not skipped.
Is the employee’s data uploaded?
No. The letter, the statement and the files are created in your browser, and drafts stay on this device.
