A wedding guest list and RSVP tracker that counts plates for you

This wedding guest list tool keeps every name, family and RSVP in one table and does the counting. Group guests by household and by the bride’s or groom’s side, mark who is invited to each function — mehendi, sangeet, wedding, reception, or a rehearsal dinner, ceremony and reception — and record each reply. The head count, meal choices, table totals and the number of invitation cards update as you type.

It works like a wedding guest list template in Excel, but without formulas to break: plus-ones and children are counted in the plates, households are counted once for invitations, and you can import the spreadsheet you already have. The list is saved in your browser and never uploaded; export a CSV whenever you want a copy for Excel or Google Sheets, or print a tidy list for the caterer.

How to use the Wedding Guest List & RSVP Tracker

  1. Choose the Indian (four functions) or Western event set, or type your own event names.
  2. Press Start an empty list, then add guests one by one — name, household, side, group, plus-ones, meal and table — or paste many lines at once, or Import CSV.
  3. Untick events a guest is not invited to. As replies arrive, set each event to Yes, No or Invited in the table.
  4. Pick an event in Counts for to see attending plates, replies awaited, meals, sides and tables for that function.
  5. Use search and filters to chase replies, then Export CSV, Copy counts for the caterer, or print the list.

Wedding Guest List & RSVP Tracker features

RSVP per function

Up to eight events, each with its own invited / attending / declined status per guest.

Live plate count

Attending people per event including plus-ones and children, plus the total if everyone awaiting says yes.

Households and sides

Counts invitation cards by household and splits attendance by the bride’s and groom’s side.

Meals and tables

Veg, non-veg, Jain, vegan and kids’ meals counted for the caterer; heads per table for seating.

Excel-friendly CSV

Export a UTF-8 CSV; import any CSV with a Name column — RSVP words like “yes”, “regrets” or “attending” are understood, and unknown event columns are added.

Private and printable

Saved only in this browser; print or download a PDF sorted by household, name, table or side.

How the counts work

Each guest counts as one person plus their plus-ones or children. For the event you choose, everyone marked Attending is a plate; Invited means you are still waiting for a reply; Declined is kept so you remember who said no. Households are counted once each, which is the number of invitation cards or envelopes you need. Example: the Sharma family (Sunita plus one, and Rakesh) and Tom Clarke plus one, all attending, are 5 plates but only 2 cards.

Use the “plates if all awaiting come” column when the caterer needs a number before every reply is in — agree with your caterer how to treat replies still outstanding and when the final number is due. For the bar, the drink calculator takes the head count; for seating, the seating chart maker prints the tables.

Importing from Excel or Google Sheets

  • Save your sheet as CSV (File → Save as / Download → CSV). The first row must be headings and one must be Name.
  • Recognised headings: Household or Family, Side, Group, Plus ones, Meal, Table and Phone. A column named after one of your events (for example “Wedding”) fills that event’s RSVP; other columns of yes/no answers become new events.
  • RSVP words: yes, attending, accepted → Attending; no, declined, regrets → Declined; anything else → Invited; blank → not invited.
  • Guests already on the list with the same name and household are skipped, so importing twice does not create duplicates.

Wedding Guest List & RSVP Tracker FAQ

Is this wedding guest list app free?

Yes. There is no account and no limit on guests. Everything runs and is stored in your browser.

Can I use it as a wedding guest list in Excel?

Yes — press Export CSV and open the file in Excel or Google Sheets; it keeps names, families, sides, meals, tables and every event’s RSVP. You can edit there and import it back.

How do I count plates for each function?

Choose the function in “Counts for”. Attending (plates) is the number to give the caterer; the event table shows every function side by side.

Where is my guest list saved?

In this browser’s local storage on this device. It is not synced to other devices — export a CSV to move it or keep a backup.

Can I track plus-ones and children?

Yes. Put the number in “Plus-ones / children”; they are counted in every event the guest attends, with the guest’s meal choice.

Can more than one person edit the list?

Not at the same time. Export the CSV and share it, and import updates back into one master list.
