*Fire safety comes first. “Code maximum” divides the whole floor by the International Building Code’s occupant load factors (Table 1004.5: 15 net sq ft per person with tables and chairs, 7 with chairs only, 5 standing). Real limits are set on net floor area by your local fire marshal, building control or licensing authority, and tents usually need exits, fire-rated fabric and often a permit. Always ask the venue or rental company for the approved capacity.

Planning figures are typical values published by event-rental guides (RSVP Party Rentals, Reservety and rental-company articles, read 19 October 2026) — editable, not a standard. US tent sizes follow common rental charts; metric marquee sizes are typical frame widths with 3 m or 5 m bays, and suppliers differ.

A wedding tent calculator for any layout and venue

This wedding tent calculator works out how much floor space your guests need and which tent or marquee size fits. Choose the layout — round tables, long banquet tables, a buffet dinner, ceremony rows or a standing cocktail reception — and it multiplies your guest count by a typical square footage per guest, then adds the dance floor, DJ or band, bars, buffet tables and a stage or mandap, plus a buffer for aisles and service.

It then picks the smallest standard tent from common US rental sizes (in feet) or metric marquee sizes, lists other sizes that fit, and shows how many guests a tent or hall holds in each layout. Use it as a wedding size calculator for a hall you are viewing, too: enter its width and length to see whether your plan fits.

How to use the Wedding Tent & Venue Capacity Calculator

  1. Pick Feet for US tents or Metres for marquees and halls in metres.
  2. Enter your guest count and choose the layout; the space per guest fills in and can be changed.
  3. Tick or untick the dance floor, and set the DJ, band, bars, buffet tables, stage and any other space.
  4. Keep a buffer of about 10% for aisles, waiters and walkways, or raise it for a relaxed layout.
  5. Read the tent size and the table of what fits in it; open Check a venue or tent you already have to test a hall’s size, then press Copy space plan.

Square feet per guest by layout

Rental guides do not all agree — some quote 15–20 sq ft per guest for a seated banquet once aisles are included — so the planning figure is editable. Worked example: 150 guests at round tables need 150 × 12 = 1,800 sq ft; a 15 × 18 ft dance floor (270), a DJ (80) and one bar (100) bring it to 2,250 sq ft, and a 10% buffer to 2,475 sq ft. The smallest standard tent that fits is 30 × 90 ft (2,700 sq ft); 40 × 70 ft is a squarer alternative.

Comfortable capacity versus the legal limit

The “comfortable” column divides the space left after your extras and buffer by the planning figure. The “code maximum” divides the whole floor by the occupant load factors of the International Building Code (Table 1004.5), which is the absolute ceiling, not a comfortable plan, and is applied to net floor area after tables, stages and bars are deducted.

Real limits come from your local fire marshal, building control or licensing authority and the venue’s certificate. Tents also need marked exits, flame-resistant fabric and secure anchoring, and larger ones usually need a permit — your rental company normally arranges this.

Tips for planning the space

  • Plan the guest list first with the wedding guest list, then the tables with the seating chart maker.
  • Size the floor separately with the dance floor size calculator if most guests will dance.
  • Rain plan: if the ceremony and reception share one tent, size it for the larger layout plus room to turn the space round.
  • Leave space outside the tent for catering prep, generators and restrooms — they are not counted here.

Wedding Tent & Venue Capacity Calculator FAQ

How big a tent do I need for 100 guests?

For a seated dinner at round tables, 100 guests need about 1,200 sq ft, plus about 180 sq ft of dance floor, a DJ and a bar, plus 10% — roughly 1,700 sq ft, so a 30 × 60 ft tent. For ceremony rows only, 800 sq ft (20 × 40 ft) is enough.

How many square feet per person for a wedding?

Plan about 10–12 sq ft per guest for round tables, 8–10 for long tables or ceremony rows, 6–10 standing and about 14 for a buffet dinner, then add the dance floor, bars and stage.

How many people fit in a 40 × 60 tent?

A 40 × 60 ft tent is 2,400 sq ft. After a 15 × 18 ft dance floor, a DJ, one bar and a 10% buffer, about 140 guests fit at round tables, or about 215 in ceremony rows. Enter 40 × 60 under “Check a venue or tent you already have” for your exact plan.

What is the difference between a frame tent and a pole tent?

Pole tents need centre poles and stakes in soft ground; frame tents have no centre poles and can stand on hard surfaces. Both come in similar standard sizes; ask your rental company which suits the site.

Does this replace a fire safety check?

No. The figures are planning estimates. The legal capacity of a venue or tent is set by your local fire and building authority — always confirm it with the venue or rental company.

Is the wedding tent calculator free?

Yes, it is free, with no sign-up, and nothing you enter leaves your browser.
