A letterhead maker with the details the law asks for
This letterhead maker builds a company letterhead for A4 or US Letter paper: your logo and name in one of eight header layouts, contact details, and a footer with the registered office and the registration numbers your country expects — CIN and GSTIN in India, the company number in the UK, an EIN if you want one in the US. Download it as a PDF to print on, or as a Word file whose header and footer stay in place on every page you type.
Want to send a letter straight away? Tick “Write a letter on it”, fill in the reference, recipient, subject and text, and the letter flows onto as many pages as it needs, each with the letterhead. The PDF keeps real, searchable text with the fonts embedded. Everything is made in your browser — nothing you type is uploaded.
How to use the Letterhead Maker
- Choose a Layout (logo left, centred, colour band, side strip…) and the paper size.
- Enter the Company name, tagline, logo, phone, email, website and registered office.
- Under Registration details, pick your country and business type and enter the numbers; the box under the preview flags missing or mistyped ones.
- Adjust colours and fonts, and add a watermark or envelope fold marks if you like.
- Download the PDF or Word file — or first tick “Write a letter on it” to include a finished letter.
Letterhead Maker features
Eight header layouts
Logo left or right, centred, full-width colour band, side strip, minimal, corner shapes and a classic serif style — each repeats on every page.
Country-aware footer
India (company, LLP or firm), UK, US, EU or other: the footer labels the right numbers, and checks the GSTIN check digit and the CIN, PAN, LLPIN and UK company number formats.
Real text in the PDF
Text is set with embedded, subset Open Font License fonts, so it can be searched and copied, and the file stays small.
Word file with a true header and footer
The .docx puts the letterhead in Word’s header and footer, so new pages pick it up automatically.
Letters that paginate
Long letters continue onto page 2 with “Page x of y”, and the closing, “For company” line and signature stay together.
What a letterhead must show
Checked on 14 October 2026. This is a summary, not legal advice — confirm details for your own business.
| Business | Required on letters and letter paper | Rule |
|---|---|---|
| Indian company | Name, registered office address, CIN, telephone and fax (if any), email and website (if any); a One Person Company adds “One Person Company” under its name | Companies Act 2013, s.12(3)(c); default fine ₹1,000 a day up to ₹1 lakh (s.12(8)) |
| Indian LLP | Name, registered office address, registration number (LLPIN) and a statement that it is registered with limited liability | LLP Act 2008, s.21 |
| UK company | Registered name, part of the UK where registered, company number and registered office address; a VAT number is needed on VAT invoices, not on letters | SI 2015/17, reg. 25 (replaced SI 2008/495 in 2015); HMRC Notice 700/21 |
| US business | No federal letterhead disclosure rule; an EIN is optional and usually left off | — |
Worked example: an Indian private limited company
The sample footer reads “CIN: U74999KA2019PTC123456 · GSTIN: 29AAGCN1234K1ZC”. The CIN breaks down as U (unlisted), 74999 (industry code), KA (Karnataka), 2019 (year of incorporation), PTC (private limited company) and 123456 (registration number). The GSTIN is 29 (Karnataka’s state code), the PAN AAGCN1234K (fourth letter C for a company), 1 (first registration under that PAN), Z, and a check character. The check character is a weighted mod-36 sum of the first 14 characters — this tool recomputes it, so a single mistyped character is caught before you print 500 sheets. Both numbers here are made up for the example.
PDF or Word?
Use the PDF to print letterhead stock or to send a finished letter: layout, colours and fonts are fixed exactly. Use Word to keep writing letters on the letterhead. Body margins are 25 mm at the sides, close to Word’s default of one inch; the top and bottom margins are set so text never runs into the header or footer. Word shows the Google font only if it is installed on that computer (all fonts here are free from Google Fonts); otherwise it substitutes a similar font.
Fold marks sit at one-third and two-thirds of the page height (99 mm and 198 mm on A4), so a folded sheet fits a DL envelope or, on US Letter, a No. 10 envelope. For letters such as offer letters, the Offer Letter Generator and Quotation Generator write the wording for you; match the look with the Business Card Generator.
Letterhead Maker FAQ
What should a company letterhead include?
At least the registered name, registered office address, phone, email and website, plus the numbers the law asks for: in India the CIN (or LLPIN for an LLP) and usually the GSTIN; in the UK the company number and place of registration. This letterhead maker labels them for you.
Is it mandatory to print the CIN on a letterhead in India?
Yes, for companies. Section 12(3)(c) of the Companies Act, 2013 requires the name, registered office address and CIN, with phone, fax, email and website, on business letters and letter paper. LLPs show their registration number under section 21 of the LLP Act, 2008.
Do I need to show GSTIN on a letterhead?
The GST rules require the GSTIN on tax invoices and other tax documents, not on letterheads, but most businesses print it so customers can verify it. The tool checks its check digit.
Can I edit the letterhead in Word?
Yes. Download the .docx: the logo, name and contact details sit in Word’s header and the registered office and numbers in the footer, so every new page shows them. Type your letter in the body.
What margins does the letterhead use?
The header and footer line up 20 mm from the side edges; letter text uses 25 mm side margins, and its top and bottom margins clear the header and footer automatically.
Is my company information uploaded?
No. The letterhead and letter are built in your browser and kept only in this browser’s storage until you download them or save a backup file.
