Bulk: many cards from a CSV

The design above is used for everyone. The CSV needs a header line with at least name and id; optional columns: designation, department, blood_group, phone, emergency_contact, valid_till (DD/MM/YYYY or YYYY-MM-DD), issue_date, photo.

1. Add the CSV fileExported from Excel or Google Sheets
2. Add the photosMatched by the photo column, else a file named after the ID or the name (e.g. NWS-0043.jpg)

No CSV loaded yet.

Save & open

The design is kept in this browser. Bulk lists and their photos are not saved.

Runs entirely in your browser. Nothing you enter or upload is sent to a server.

An employee ID card maker for one card or the whole team

This employee ID card maker designs a standard CR80 card — the size of a bank card — with your logo, the person’s photo, name, designation, department, ID number, blood group and validity, plus a CODE128 barcode or a QR code. The back carries the return address, emergency contact, a note and the issuing signature. Download a PDF at the exact card size for a PVC card printer, or a 300 DPI PNG.

For a whole team, load a CSV exported from Excel or Google Sheets and the photos: every row becomes a card in the same design, ready as an A4 sheet of ten with cut marks or a ZIP of PNGs. Staff names and photos are processed in your browser and never uploaded.

How to use the Employee ID Card Maker

  1. Pick a Template and choose portrait or landscape under the preview.
  2. Fill in Organisation: name, second line, logo and colours.
  3. Under Person, upload a photo and use the zoom and move sliders to frame the face, then enter the details.
  4. In Barcode, QR & back, choose a barcode or QR code and what goes on the back.
  5. Download the CR80 PDF or a PNG — or open Bulk, add a CSV and photos, and download the sheet PDF or the ZIP.

Employee ID Card Maker features

Exact CR80 size

PDF pages are 85.60 × 53.98 mm (or 53.98 × 85.60 mm in portrait), so card printers print at 100% without scaling. Optional 2 or 3 mm bleed for print shops.

Photo crop on the card

Zoom and move the photo inside its frame — rectangular or round — without editing it elsewhere.

Barcode that scans

The ID number becomes a CODE128 barcode with its quiet zones; the built-in test reads it back from the pixels. A QR code can hold the ID or a contact card.

Bulk from CSV

Header names are recognised in common forms (name, employee_id, designation, blood_group, valid_till…), quoted commas are handled and dates may be DD/MM/YYYY or YYYY-MM-DD.

10-up sheets

Portrait cards go 5 × 2 on landscape A4, landscape cards 2 × 5 on portrait A4, with cut marks; each back page is mirrored for long-edge duplex printing.

CR80: the standard ID card size

Employee badges, bank cards and most access cards use the ID-1 format of ISO/IEC 7810 (current edition 2019), which card-printer makers call CR80. The figures below were checked on 14 October 2026 against the Wikipedia article on ISO/IEC 7810 (edited 29 June 2026). The 3.18 mm corner radius comes from ISO/IEC 7813 for bank cards; ISO/IEC 7810 itself allows 2.88 to 3.48 mm.

Making cards for many people from a spreadsheet

Put one person per row with a header line, save as CSV (in Excel choose “CSV UTF-8” so names with accents survive) and drop it into the Bulk section. Then add the photos. Each row looks for its photo in this order: the file named in the photo column, a file named after the ID (NWS-0043.jpg), or a file named after the person (rahul-mehta.jpg); capital letters and file extensions do not matter. The table shows which rows matched; rows without a photo get a grey placeholder, and rows missing a name or ID are skipped.

Worked example: 23 employees in portrait cards make three A4 sheets (10 + 10 + 3). The PDF has six pages: a page of fronts, then the matching page of backs, for each sheet. Print double-sided, flipping on the long edge, at 100% scale, and cut along the marks. The ZIP holds 46 PNGs — a front and a back for each person, named by ID.

What to put on an employee ID card

  • Front: organisation name or logo, a recent photo, full name, designation, ID number and validity date. Blood group is common in India and helps in emergencies.
  • Back: the address to return a lost card to, an emergency contact, a short note that the card is company property, and the issuing signature — make one with the Signature Maker.
  • Keep off the card: home addresses, dates of birth and government ID numbers. A lost card should not help anyone impersonate the holder.
  • Codes: CODE128 encodes any keyboard text and works with most attendance and library scanners. For a stand-alone code use the Barcode Generator; a QR contact card is denser, so keep it to the ID when the code is small.

Employee ID Card Maker FAQ

What size is an employee ID card?

The usual size is CR80 (ISO/IEC 7810 ID-1): 85.60 × 53.98 mm, the same as a credit card, used in portrait or landscape. This employee ID card maker makes PDF pages of exactly that size.

Can I print ID cards on an ordinary printer?

Yes. Download the sheet PDF, print it at 100% on thick card stock, cut along the marks and laminate the cards. For PVC cards, send the single-card PDF to a card printer or a print shop.

How do I make ID cards for all employees at once?

Open “Bulk”, add a CSV with at least name and id columns, then add the photos. Download one sheet PDF for printing, or a ZIP with a front and back PNG for each person.

Should I use a barcode or a QR code?

Use CODE128 if an attendance, canteen or library system will scan the card, since it holds the ID exactly. Use a QR code if people should save the contact on their phones.

Are my employees’ details and photos uploaded?

No. The CSV, photos and cards are processed only in your browser. The design (not the bulk list) is remembered in this browser so you can come back to it.

Can I make student or visitor cards with it?

Yes — change the labels in the fields (for example designation to class or company) and the second line. For passport-size photos, prepare them first with the Passport Photo Maker.
