Thermal rolls print one long slip as wide as the roll, for a counter printer. The PDF embeds Noto Sans, so ₹ prints exactly.

Daily sales report format for shops, with a cash tally

This free daily sales report maker gives a shop, pharmacy, café or retail counter a clean end-of-day report in a few minutes. Enter what you sold — by item, by category or simply the total — then how the money came in: cash, UPI, card, credit (udhaar) and other modes. Add returns and the day’s expenses, and the report works out net sales, the average bill, each payment mode’s share and how much cash should be in the drawer.

Count the cash and enter it to see at once whether the drawer is short or in excess. The report follows the daily sales report format most retailers use: a heading with the shop name, date and report number, the sales summary, collections by payment mode, expenses, the cash tally and signatures for the person who prepared it and the person who checked it.

Share it the way your team works: a PDF on A4 or Letter, a slip for an 80 mm or 58 mm thermal printer, a phone image, or a ready-to-paste WhatsApp summary for the owner. Reports are saved only in this browser, and a CSV of all saved reports gives you a monthly sheet.

How to use the Daily Sales Report Maker

  1. Add your shop name and logo once; they stay for every report.
  2. Check the date and report number, and add the shift and who prepared the report.
  3. Under Sales and expenses, add sales lines by item or category, and expenses such as staff tea, delivery fuel or carry bags. You can skip sales lines and fill only the payment modes.
  4. Enter the amounts collected by cash, UPI, card, credit and other modes, plus returns and the number of bills.
  5. Fill in the opening cash, old dues collected, cash deposited or handed over and the cash you counted at closing.
  6. Press Download PDF, download the phone image or copy the WhatsApp summary. Press New report tomorrow — the opening cash carries over.

Itemised or quick

List sales by product or category with quantity and rate, or just type the totals by payment mode.

PDF, thermal slip, image, WhatsApp

An A4 or Letter report with your logo, an 80/58 mm closing slip, a 1080-pixel phone image and a plain-text summary with bold headings.

Month summary

Every saved report becomes one row of a CSV — open it in a spreadsheet to total the month.

How the numbers are calculated

Gross sales is the total of the sales lines, or of the payment modes if you skip the lines. Net sales = gross sales − returns. Average bill = gross sales ÷ number of bills. Credit (udhaar) sales count as sales but not as cash; record them in a customer ledger such as the udhar book so they are collected later.

Expected cash = opening cash + cash sales + old dues collected in cash − cash refunds − expenses paid from the drawer − cash deposited or handed over. Short or excess = cash counted − expected cash. In the example, ₹3,000 + ₹14,650 + ₹1,500 − ₹420 − ₹730 − ₹10,000 = ₹8,000 expected; ₹7,950 counted means the drawer is ₹50 short.

“Net sales less expenses” is not profit: it ignores what the goods cost you. For margins use the profit margin calculator, and for the bigger picture the cash flow calculator.

What a daily sales report format for retail should contain

  • Shop name, date, day, shift or counter and a report number, so every day can be traced.
  • Gross sales, returns and net sales, and the number of bills.
  • Collections by payment mode — cash, UPI, card, credit and others — with a total that matches sales.
  • Expenses paid out during the day, with what each one was for.
  • The cash tally: opening cash, expected closing cash, counted cash and any shortage or excess.
  • Signatures of the person who prepared the report and the person who checked it.

Sending the report on WhatsApp

Owners who are not at the shop usually want the day’s figures on their phone. The WhatsApp summary uses *bold* headings that WhatsApp displays as bold text; Open WhatsApp starts a chat with the text filled in, and the phone image shows the same figures as a picture. Bills for customers still come from the invoice generator or the receipt generator.

Daily Sales Report Maker FAQ

What is the format of a daily sales report?

A heading with the business name, date and report number; sales (gross, returns, net); collections by payment mode; expenses; the cash tally with expected and counted cash; and signatures. This maker lays all of that out for you.

How do I make a daily sales report for a retail shop?

Enter the day’s sales by item or category (or just the totals), the amounts collected by cash, UPI and card, returns, expenses and the cash counted, then download the PDF or copy the WhatsApp summary.

How do I send a daily sales report on WhatsApp?

Press Copy summary and paste it into the chat, or press Open WhatsApp. You can also download the phone image and send it as a picture.

Can I print the report on a thermal printer?

Yes. Choose 80 mm or 58 mm thermal roll; the PDF is exactly as wide as the roll. Print it at 100% scale.

Why is my cash short or in excess?

Common causes are change given wrongly, a UPI payment entered as cash, an expense paid from the drawer but not recorded, or a refund not entered. Recount, then check each of these.

Where are my reports stored?

Only in this browser. Save each day’s report, export the CSV for your records, and use Export JSON as a backup you can import elsewhere.
