A free mileage log template you can fill in and print
This mileage log template keeps the trip records a tax authority expects and turns them into a printable mileage log. Add each business trip — date, business purpose, where you went and the odometer readings or distance — and the log totals your business miles, parking and tolls, and the amount at the IRS standard mileage rate or HMRC’s mileage rates. Print it, or save it as a vector PDF or a PNG.
Prefer pen and paper? Print the blank log: every page has the columns the IRS lists for car expenses in Publication 463, room for your name, vehicle and the year’s opening and closing odometer, and a page total. Fill a page with your trips and the rest with blank rows, or add extra blank pages for the months ahead.
Trips are stored only in this browser on this device — export a CSV regularly as a backup. The log is a record-keeping aid; amounts are estimates, not tax advice.
How to use the Mileage Log Template
- Choose the Mileage rate: US IRS standard rate, UK HMRC rates (and vehicle type), or your own rate per mile or kilometre.
- Add your name, the vehicle and the period, and the odometer at the start and end of the year if you know them.
- For each trip enter the Date, Business purpose, From and To, then both odometer readings or just the distance, and any parking or tolls. Press Add trip.
- Check the totals and the trip list; delete a mistaken trip (with undo) and export a CSV.
- Under Printable mileage log, pick blank rows, extra pages, paper size and orientation, then Print log or Download PDF.

What a mileage log for taxes must show
IRS Publication 463 (Table 5-1) says that for car expenses you need the mileage for each business use and the total miles for the year, the date of each use, your business destination and the business purpose. Records should be made at or near the time — a log kept weekly counts — and kept for at least three years after you file. In the UK, HMRC expects the same kind of record of business journeys, whether you claim the simplified mileage rate as a sole trader or mileage allowance relief as an employee.
Commuting between home and a regular workplace is not business mileage in either country.
Mileage rates used
With the IRS standard rate you can deduct business parking fees and tolls as well. For tax on self-employed profit see the self-employment tax calculator (US) or the UK self-employed tax calculator.

Tips for a log that holds up
- Write the purpose specifically (“delivery to Acme Ltd”, not “work”).
- Note the odometer at the start of the year or tax year — it gives total miles and your business-use percentage.
- Keep fuel receipts too if you might compare the standard rate with actual costs.
- For fuel economy rather than tax, use the mileage calculator.
